Job Description:

Reporting to the Manager of Virtual Services, the Virtual Services Specialist, Remote, develops virtual content and administers all Hire Heroes USA's internal and external virtual engagements including webinars, virtual workshops, virtual career events, podcasts, and virtual learning. The Virtual Services Specialist is responsible for creating learning resources to include one-pagers, guides, explainer videos, presentations, and live training sessions. They will be expected to make recommendations and implement improvements to established processes to advance the mission of Hire Heroes USA. The Virtual Services Specialist must be able to provide these services from a home office and have the flexibility to travel to Hire Heroes USA office locations up to 3 times a year for training/meetings.


Virtual Event Administration

  • Serve as the primary point of contact for scheduling and production of all internal and external virtual engagements including webinars, virtual workshops, virtual career events, and podcasts
  • Process virtual event requests, reviewing for conflicts, accuracy, and sufficient details to progress the request through each phase of implementation
  • Provide virtual support services to event hosts, presenters, and panelists including event creation in the platform, event production, content creation, platform training and troubleshooting, speaker coordination, in-session support, recording management, and report generation
  • Maintain accurate and current client activity and request records using a learning management system and attending virtual events
  • Assist with tracking and data analysis for Virtual Services Program outcomes and clearly communicates program data to stakeholders

    Content Creation
    • Assist the Manager of Virtual Services to provide virtual learning content, resources, and events; supports the development of efficient processes, answer questions, and make recommendations for content and supplemental services
    • Maintain open communication channels with staff to promote virtual service offerings and recommend improvements to virtual content, messaging, and functionality
    • Develop, review, edit, and update written training materials, visual aids, and reference materials including course and track curriculum with support from the department leads and subject matter experts; recommend updates and improvements of all training material
    • Assist in leading committee(s) to foster collaboration on content development from various departments and subject matter experts across the organization
    • Develop knowledge through various certifications, classes, and professional publications
    • Support organization events and fundraisers as needed
    • Perform other tasks as directed

      • Home office setup with reliable internet access to support video streaming required
      • Bachelor's degree or equivalent professional experience in virtual event production and content creation preferred
      • Must be able to maintain clear and frequent verbal and written communication
      • Advanced computer skills with an aptitude for learning new systems and troubleshooting required
      • Experience using Salesforce, Adobe Creative Cloud including Acrobat and Illustrator strongly preferred
      • Proficient with Microsoft Office Suite including PowerPoint, Excel, and Word
      • Advanced skills using Google Applications including Gmail, Calendar, Sheets, Slides, and Docs preferred
      • Ability to work independently and as a member of a team, while productively engaging with others at varying levels of seniority within and outside Hire Heroes USA
      • High energy and passion for Hire Heroes USA's mission are essential
      • Strong organizational and time management skills with exceptional attention to detail
      • Ability to manage competing priorities and multiple projects and initiatives at one time
      • Experience with learning management system administration preferred

        Work Environment/Physical Demands
        • General office environment; temperature controlled
        • Routinely uses standard office equipment, e.g. copiers, phones, computers
        • Sitting for extended periods of time
